Why we do this differently
For a child with autism, the transport is not a neutral gap between home and school. It is part of the day, and an unfamiliar adult in an unfamiliar vehicle can undo a morning before the child reaches the gate. For an adult with dementia, a new face at the door can turn a routine journey into a refusal. Transport teams know this. It is usually the operator who treats crews as interchangeable.
So we roster the other way round. A route gets a named driver, a named passenger assistant where one is specified, and an identified cover crew who has actually run that route and met those passengers. Holidays and sickness still happen, but they are covered by someone the family has seen before rather than by whoever is nearest.
It costs us flexibility. We think that is the correct trade, and it is the reason our SEND routes settle in weeks rather than terms.

Send us the specification and the deadline. We will tell you quickly whether the route is one we can genuinely deliver, rather than submitting on everything and sorting it out later. If it is not a fit, we will say so and save you evaluating a bid that was never serious.
For transport teams
Yes, without exception, and before a first journey rather than pending. Clearance is recorded and re-verified on a rolling basis, and we can supply our DBS policy and evidence of checks as part of a tender submission or contract audit.
By treating it as a contractual commitment rather than a nice-to-have. Each route has a named driver and, where required, a named passenger assistant, plus an identified regular cover crew who has run the route before. Continuity is the single thing families raise most often, and a rota that treats children as interchangeable rows does real harm.
Yes. Where an EHCP, risk assessment or the school specifies a passenger assistant, we allocate one and price it into the route. Passenger assistants are DBS checked and trained on the same basis as our drivers.
Consolidated, on agreed terms, with your purchase order or cost centre reference carried through to every line. Term-time routes are usually invoiced monthly across the term or termly in arrears, whichever your finance team prefers. Recurring contracted routes can be collected by Direct Debit where that suits you better.
Routes change constantly - a new placement, a passenger moving address, a chair being replaced with a larger one. Tell us and we will re-time the route, confirm whether the existing vehicle still suits, and re-quote if the change affects capacity or mileage. We will not simply absorb a change that makes the route unsafe.
Sometimes, and we will give you a straight answer the same day. It depends on what the route needs and what is already committed. Where we can only cover part of it, we will say which part rather than promising the whole and delivering half.
Yes. We can provide insurance certificates, DBS and safeguarding policies, training records, vehicle and maintenance documentation, and references. Send us the deadline and the portal details and we will work to them.
Crews are briefed on what to report and to whom. A concern about a passenger's welfare is raised with our office the same day and escalated to the school's designated safeguarding lead or the authority's safeguarding team as appropriate. We record it, and we do not sit on it.
