Commercial models
Individual journeys booked as needed against an account. No commitment, no minimum volume. Most trusts and care homes start here.
Invoiced monthly in arrears
An agreed volume of journeys or vehicle hours over a period, typically a term or a quarter, at a rate that reflects the commitment.
Invoiced in arrears or in instalments
A named route with a named crew for a contract term. Priced as a route, not a series of fares, with continuity written into the arrangement.
Termly, monthly or Direct Debit
Delivery against an existing framework or dynamic purchasing system, with the documentation pack supplied for onboarding and audit.

Billing and payments
Consolidated invoices rather than a stream of individual charges, issued on your cycle with your purchase order or cost centre reference carried through to every line. Journey detail is attached, so a query is answered from the invoice rather than by email chain.
A contracted route or a day centre run is not a series of unrelated fares. Recurring work is billed as a fixed periodic charge, which gives your finance team one predictable figure per budget line and removes the reconciliation work entirely.
Settlement by BACS on agreed terms for account customers, or Direct Debit collection for recurring contracted routes where that is easier for your team. Bank details are exchanged through your own procurement or finance process, never over email.
Spend and delivery reported together, because they are the same question. Journeys delivered, punctuality against the agreed window, cancellations by cause, and spend by route, department or cost centre.
If a journey was not delivered as booked, it is credited on the same invoice cycle rather than argued about for a quarter. Card payments are refunded through the original payment method by our payment provider.
Card details are never entered on this website, never taken over the phone and never held by us. Where a card payment is appropriate, the payer receives a secure hosted checkout link issued by our payment provider and completes it on the provider's own infrastructure.
Bank details for BACS or Direct Debit are exchanged through your own procurement or finance verification process, not by email. If you receive a request to change our bank details, treat it as suspicious and call 020 8058 9879 to verify it before acting.
Getting set up
Information governance
To carry someone safely we need to know things about them: that they use a powered wheelchair, that they become distressed on long journeys, that they are travelling to a renal unit three times a week. Under UK GDPR most of that is special category data, and we treat it accordingly rather than as ordinary customer contact information.
Our approach is deliberately narrow. We collect what the journey requires and not the surrounding clinical picture. Access is limited to the booking coordinators who plan the journey and the crew who deliver it. Retention periods are set out in our privacy policy rather than left to whatever happens to sit in an inbox.
For NHS and local authority work we expect to complete your information governance requirements as part of onboarding, and we will sign a data processing agreement or information sharing agreement that specifies exactly what we hold, why, for how long and who can see it.
If your assurance framework requires a specific toolkit submission or a named certification, tell us which at the enquiry stage and we will confirm our position rather than leaving you to assume it.
Commissioner questions
Call or email the office and we will send our supplier documentation and ask for yours. For a spot-purchase account it is genuinely quick - references, insurance evidence, agreed rates and the purchase order arrangement. Contracted routes take longer because we want to plan and trial the route properly first.
Yes, and we will refuse to invoice without one if that is your requirement. Give us the PO or cost centre reference at booking or at account setup and it appears on every relevant invoice line. This is the single most common cause of delayed payment in transport contracts, so we treat it as a hard field rather than a note.
Agreed at account setup rather than imposed. Public sector customers commonly work to 30 days from a valid invoice, and we are comfortable with that. What we ask in return is that the invoice is not held for a missing reference we could have been told about at booking.
Yes, for contracted routes and subscription-billed community runs. It is collected in arrears against the delivered journey record, not in advance, and the mandate is set up through the standard Direct Debit process with the protections that carries. Many finance teams prefer it for predictable monthly work.
Monthly as standard, and termly for school-year contracts if that suits your cycle better. Journeys delivered against booked, punctuality against the agreed window, cancellations with causes, incidents, and spend broken down the way you need to see it.
We collect only what the journey requires and keep it no longer than we need to. Health and disability information is special category data under UK GDPR and is handled on that basis, with access limited to the people who need it to plan and deliver the journey. For NHS work we will complete your data security and protection assurance requirements as part of onboarding, and we are happy to sign a data processing agreement or information sharing agreement setting out exactly what we hold and why.
You are told as early as we know, not on the day. Where we have failed to deliver a journey we booked, it is credited on the same invoice cycle. We would rather decline a booking at the point of request than accept it and leave a patient or a pupil waiting.
Yes. Send the specification, the portal details and the deadline. We will tell you quickly whether it is a route we can genuinely deliver for the full term, and if it is not, we will say so rather than submitting and sorting it out later.
