Why the transport decides the attendance
Day service managers know the pattern. Attendance drifts down over a term. Nobody complains formally. When someone finally asks, the answer is rarely about the activities — it is that the bus came at a different time three weeks running, or that a passenger was left waiting in the cold, or that the new driver did not know they needed help with the gate.
Transport is the part of a day service that the service does not control, and it is the part that most reliably breaks the relationship. A passenger who has been let down twice will find a reason not to be ready the third time. Their family, who arranged their morning around it, will stop pushing.
That is why we treat a community run as a timetable to be engineered rather than a series of fares. Sequenced by dependency. Timed by driving it. Crewed by the same people. Reviewed when the passenger list changes. It is not complicated, but it does have to be done deliberately.

Designing the run



How it is billed
A fixed monthly cost per passenger per run. The seat is held whether or not they travel on any given day, which is what makes the price predictable and the vehicle reliably available.
Best for: stable weekly timetables with a known passenger list
You hire the vehicle and driver for a run, a half day or a full day. The cost is the same whether six people travel or twelve, so it works when numbers move around.
Best for: outings, away days and runs with fluctuating numbers
Working to a grant or a commissioned budget? Tell us the figure you have available and the run you need, and we will tell you honestly whether it is deliverable, and if not, what would have to change — fewer days, a tighter catchment, or a shared vehicle. That is a more useful conversation than a quote you cannot afford.
For managers and organisers
Either, and the right answer depends on your run. A stable weekly timetable with a known passenger list is usually cheapest as a per-seat subscription. A run where numbers swing week to week, or a whole-day outing, is normally better as whole-vehicle hire. We will quote both if it is genuinely borderline so you can see the difference.
The driver waits a reasonable moment, calls the office, and moves on so the rest of the run is not delayed - then the centre is told before the vehicle arrives, so you are not looking for someone who was never coming. On a subscription, occasional non-travel does not change the monthly cost, because we have still held the seat and driven the route. Long-term changes are re-quoted.
Yes. Our larger vehicles run on flexible floor tracking, so the seating layout can be reconfigured to carry several wheelchairs alongside seated passengers. We need to know the mix in advance because the layout is set before the vehicle leaves the yard, not on the pavement.
Where the run warrants it, yes. On higher-dependency runs a second pair of hands is not a luxury - it is what allows the driver to concentrate on driving and the assistant to concentrate on passengers. We will tell you honestly whether we think your run needs one, and price it either way.
Usually, and it is a sensible way to make the budget work. If your regular run finishes at ten and the vehicle is free until two, that window can be used for an outing or a shopping trip at a lower rate than a standalone booking. Ask us what the gaps in your own timetable are worth.
For a new multi-pick-up timetable, two to three weeks lets us plan properly, trial the route and allocate a consistent crew. We can move faster than that when a provider has folded and passengers are stranded, but the first fortnight is smoother when we have had time to drive it first.
Yes - public liability and passenger insurance appropriate to contracted passenger transport, and we will supply certificates for your records or for a commissioner's file. If your own funder needs specific cover levels confirmed in writing, ask and we will provide it.
